Hands On Deck Inc. (“Hands On Deck,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit https://www.handsondeckgb.org, contact us, subscribe to communications, register for a program or event, sign a participation agreement or waiver, make a purchase or donation, create or use an account or membership, or otherwise interact with our services.

This policy applies to information handled by Hands On Deck. Some services are provided by third parties, including Squarespace, Acuity Scheduling, Stripe, Smartwaiver, Give Lively, and Google. Those providers may collect and process information under their own privacy policies.

1. Information We Collect

Depending on how you interact with us, we may collect the following categories of information.

Contact and communication information

We may collect your name, email address, telephone number, mailing address, organization or school affiliation, and the contents of messages you send through our contact forms, email, or other communications.

Newsletter and marketing information

If you subscribe to our newsletter or other updates, we collect your email address, subscription status, and communication preferences. You may unsubscribe using the link in an email or by contacting us.

Program, class, and event information

When an adult participant, parent, guardian, school, or authorized adult registers for a class, camp, event, field trip, membership, or other program, we or our service providers may collect:

• the participant’s and registering adult’s names and contact information;

• the participant’s age or date of birth and selected demographic information;

• school, group, class, program, scheduling, and attendance information;

• parent or guardian information and relationship to a minor participant;

• information needed to administer the program, prepare appropriate materials, or communicate about participation; and

• purchase, package, payment, and transaction information.

The particular questions may differ by program.

Participation agreements, waivers, and media choices

For some programs, a parent, guardian, or adult participant may be asked to complete an electronic agreement or waiver through Smartwaiver. Depending on the form, this may include participant and parent or guardian names, contact information, address, date of birth, gender selection, clothing or body-size measurements needed for program materials or equipment, relationship to the participant, electronic signature, participation acknowledgments, and choices concerning photographs, video, or audio.

Please do not provide medical, health, or other sensitive information unless a form specifically requests it and it is reasonably necessary for the program.

Purchases, memberships, and account information

When you purchase a product, membership, class, or package, or create a customer or member account, we or our service providers may collect your name, email address, account credentials, billing and shipping information, order contents, membership selection, purchase history, fulfillment information, and transaction status.

Donations

Donations are processed through Give Lively and its payment processors. Give Lively may provide Hands On Deck with donor information such as your name, email or other contact information, donation amount, donation date, and information about whether you chose to be displayed publicly or anonymously.

Payment information

Payment-card and other financial-account information is collected and processed by payment providers such as Stripe and the payment processors used by Give Lively. Hands On Deck may receive transaction identifiers, amounts, dates, payment status, and related order, registration, or donor information, but we do not intend to receive or store complete payment-card numbers or security codes.

Website, device, analytics, and cookie information

When you visit our website, Squarespace and other service providers may automatically collect information such as your IP address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from IP address, cookie identifiers, activity timestamps, and interactions with the website.

We use necessary cookies to operate the website and may use analytics or performance cookies to understand how visitors use it. Our cookie banner allows visitors to accept or decline non-essential cookies and access Cookie Preferences. Some embedded or third-party services may use their own cookies or similar technologies under their own policies.

2. How We Use Information

• register participants and administer classes, camps, events, memberships, and other programs;

• communicate with parents, guardians, participants, schools, organizations, customers, members, volunteers, and donors;

• provide products, kits, services, customer support, and member access;

• send newsletters and other communications you requested;

• operate, secure, troubleshoot, and improve our website and services;

• understand website and program usage;

• prevent fraud, misuse, and security incidents;

• maintain records required for accounting, tax, insurance, safety, or legal purposes; and

• comply with applicable law and protect the rights, safety, and property of participants, visitors, Hands On Deck, and others.

3. How We Disclose Information

We may disclose personal information:

• to service providers that help us host the website, manage contacts, schedule programs, process registrations, provide waivers, process payments and donations, fulfill orders, provide member accounts, analyze website activity, prevent spam or fraud, and operate our services;

• to instructors, staff, authorized volunteers, or program partners when reasonably necessary to administer a program or protect participant safety;

• to a school, organization, or other program sponsor when that organization arranged or paid for the program and the disclosure is appropriate to administer it;

• when required by law, subpoena, court order, or other valid legal process;

• when reasonably necessary to protect rights, safety, security, or property, investigate misuse, or prevent fraud; or

• in connection with a merger, restructuring, transfer of assets, or similar organizational transaction, subject to appropriate protections.

Hands On Deck does not sell or rent personal information.

4. Service Providers and External Platforms

The services currently used by or linked from our website include:

When you use an embedded service or follow a link to another website, that provider’s privacy policy and terms also apply. Hands On Deck does not control every privacy or security practice of third-party services.

5. Children’s and Minor Participants’ Information

Hands On Deck provides programs for children and teens, but our online registration, payment, and waiver processes for minors are intended to be completed by a parent, legal guardian, school, or other authorized adult.

Children under 13 should not submit personal information directly through our website, create an account, subscribe to communications, or complete a registration or waiver without a parent or guardian. If we learn that personal information was collected online directly from a child under 13 without appropriate authorization or consent, we will take reasonable steps to review and delete it as required.

Parents and guardians may contact us to ask about personal information associated with their child or to request correction or deletion, subject to legal, safety, insurance, and recordkeeping obligations.

6. Photographs, Video, and Audio

Hands On Deck may create or use photographs, video, or audio of programs and participants for educational, documentary, fundraising, or promotional purposes when we have an appropriate release or other authorization. Choices concerning media use may be recorded through a participation agreement or waiver.

Parents, guardians, or participants may contact us about an existing media choice. A request will be reviewed in light of the authorization provided, material already published, operational limitations, and applicable law.

7. Cookies and Your Choices

Our website displays a cookie banner and provides Cookie Preferences. You may use these controls to accept or decline non-essential cookies and revise your preferences.

Necessary cookies support functions such as navigation, security, account access, shopping cart, and checkout. Analytics or performance cookies help us understand website traffic and interactions. Embedded services may place additional cookies that are governed by their providers’ policies and may not all be controlled by the Squarespace banner.
